1. Overview
AgencyOSX is an AI-powered assistant platform built and operated by Aff Edtech Ltd, trading as Affluent Academy ("we", "us", "our"), a company registered in the United Kingdom. AgencyOSX is the AI-powered companion product to our education platform, and is designed for enrolled members to help them build and scale their marketing agencies using specialised AI assistants.
This privacy policy explains how we collect, use, store, and protect your personal information when you use AgencyOSX via our website, progressive web application, or mobile applications. It covers all features of the platform including AI chat, third-party integrations (such as Meta, Google Ads, Notion, and Google Gemini), file generation, and push notifications.
2. Information We Collect
We collect the following categories of information:
- Account information: Email address, full name, and password (securely hashed) when you create an account. Programme tier (Agency Launch or Elite Agency) synced from your enrolment record.
- API keys and tokens: Your Claude (Anthropic) API key and optionally your Google Gemini API key, both encrypted with AES-256-GCM before storage. These are decrypted only server-side when proxying requests to the respective AI services.
- Chat data: Messages you send and receive within AgencyOSX, stored in our database to maintain your conversation history across sessions.
- Usage data: Token counts, AI model usage, and estimated costs, used to power your personal usage tracking dashboard.
- Device information: Push notification tokens (if you opt in), browser type, and device type for service delivery purposes.
- Profile and preferences: Your agency name, website URL, currency preference, response detail preference, and any custom knowledgebase content you provide to personalise your AI assistants.
- Feedback and quality signals: Feedback ratings and comments you submit, plus automated quality signals (for example, frustration indicators detected in a message). Individual signal records are tied to your account and may be reviewed by our team; aggregated insights derived from them are anonymised.
- Meta (Facebook) advertising data: If you connect your Meta account, we access and temporarily process your ad account information, campaign performance metrics, and related advertising data. See Section 3 for full details.
- Google Ads data: If you connect your Google Ads account, we access your ad account information and campaign performance metrics in read-only mode, and store aggregated daily performance statistics to power your reporting dashboard. See Section 4 for full details.
- Google Workspace data: If you connect Google Workspace, we store an encrypted OAuth token and connection metadata (account email and name, granted scopes, default Drive folder), and access your Google Sheets and Docs on demand when you ask an AI assistant to create, read, or update them. See Section 4 for full details.
- Notion workspace data: If you connect your Notion account, we store an encrypted access token and basic workspace metadata (workspace name, selected parent page) to enable file export functionality.
- Coaching context (Elite and 7FAIS members only): If you attend coaching calls with a success manager, their call summaries are pulled from a dedicated Google Drive folder via a Google service account, processed by Claude, and stored as a short rolling "coaching brief" on your profile. This brief is injected into your AI assistant conversations so advice stays consistent with your human coach. See Section 8 for the full data flow.
3. Meta (Facebook) Advertising Data
AgencyOSX offers an optional integration with Meta (Facebook) to help you manage campaigns and analyse advertising performance through our AI advertising specialist assistant. This section explains exactly what data we access, why, and how it is handled. Our use of Meta Platform Data complies with the Meta Platform Terms and Meta Developer Policies. We access Meta data solely at the direction of and for the benefit of each individual user.
3.1 What We Access and Why
When you connect your Meta account, we currently request the following permissions, which are approved for AgencyOSX:
ads_read: Lets our AI advertising specialist (Mia) view and analyse your ad campaign performance data in read-only mode. This includes: ad account details (account ID, name, currency, status), campaign names and statuses, ad set and ad-level performance, impressions, reach, clicks, spend, conversions, cost-per-result metrics, and video retention metrics.ads_management: Lets you create, edit, pause, and resume ad campaigns, ad sets, ads, and budgets on your connected ad accounts. New campaigns are always created in a paused state. Every action this permission enables happens only when you, or an automation you configured, initiates it. AgencyOSX never changes your campaigns on its own.business_management: Lets us see the ad accounts and Facebook Pages owned by a Business Manager you connect, so you can select which ones to work with.pages_show_list: Lets us list the Facebook Pages you manage, so you can pick which Page backs your ads.pages_read_engagement: Lets us read basic metadata for the Page behind your ads.pages_manage_ads: Lets us create and manage ads associated with your Page, including creating unpublished ("dark") Page posts as ad creative that never appear on your Page's timeline.pages_manage_metadata: Lets us subscribe your connected Page to Meta's Lead Ads webhook, so new leads arrive in AgencyOSX in real time.leads_retrieval: Lets us retrieve the contact details submitted through your Lead Ads forms, so leads can be tracked and followed up inside AgencyOSX. See 3.2 for how long lead data is retained.pages_read_user_content: Lets us read user-generated content on your connected Page, including comments on Page posts and ads, so it can be shown in AgencyOSX for review and moderation.pages_manage_engagement: Lets you moderate comments and reactions on your connected Page, including hiding, unhiding, and replying to comments.instagram_manage_comments: Lets you view and moderate comments on media from the Instagram business account linked to your connected Page.catalog_management: Lets you view and create product catalogs owned by a connected Business Manager for dynamic product ads and catalog sales campaigns.read_insights: Lets us read Page-level performance and engagement metrics for reporting beyond individual ad objects.instagram_manage_insights: Lets us read performance metrics for the linked Instagram business account and its media.instagram_basic: Lets us identify the Instagram business account linked to your connected Page and read its basic profile and media details.
3.2 How Meta Data Is Stored
- Your Meta access token is encrypted with AES-256-GCM before storage, using the same encryption standard as API keys. It is decrypted only server-side when fetching ad data during a conversation.
- Basic account metadata (your Meta user ID, display name, and a list of your ad account names and IDs) is stored in your profile to enable account selection.
- Ad performance data (impressions, clicks, spend, conversions, etc.) is accessed in real-time from Meta's API during conversations and is not permanently stored in our database. Conversation messages may reference ad metrics discussed during the chat.
- Meta ad performance data is fetched in real-time during conversations and cached in server memory for up to 15 minutes to reduce API calls. No Meta ad performance data is permanently stored in our database.
- If you connect a Facebook Page and subscribe it to Lead Ads, the contact details submitted through your lead forms (name, email, phone, and any custom fields you configured) are stored in our database so they can be reviewed and followed up inside AgencyOSX. This is the only Meta Platform Data retained beyond the account and Page metadata described above.
- Disconnecting your Meta account (3.3) removes your access token and Page connection immediately, but retains any leads already retrieved into your Lead Inbox, so you keep that history if you reconnect. Deleting your AgencyOSX account permanently removes all Meta-related data, including stored leads.
3.3 How to Disconnect and Delete Meta Data
You can disconnect your Meta account at any time in AgencyOSX Settings. Disconnecting immediately deletes your encrypted Meta access token, Meta user ID, display name, ad account list, default account selection, and connected Page from our database. Leads already retrieved into your Lead Inbox are kept so you don't lose that history if you reconnect later. If you delete your AgencyOSX account entirely, all Meta-related data, including stored leads, is permanently removed as part of that process. If you request deletion of your data through Facebook's settings, Meta will notify us and we will immediately remove all your Meta-related data, including stored leads, from our systems. If you are the teammate who connected Meta for a shared team workspace, this also removes the leads stored for that workspace, since they are attached to your connection — your workspace team will lose access to that shared lead history as part of honoring your deletion request.
3.4 Data Sharing
As a technology provider, AgencyOSX processes Meta Platform Data on behalf of and at the direction of each user. If you connect Meta for a shared team workspace, any teammate with access to that workspace can see and use the connection, the connected Page, and any leads retrieved through it, the same way they can see any other data in that workspace. Meta data connected to one workspace is never combined with or accessible from a different workspace.
We do not sell, rent, share, or transfer your Meta advertising data to any third party, ad network, data broker, or monetisation service. Your ad data is used solely within AgencyOSX to provide you with AI-powered campaign analysis. When your ad data is sent to Anthropic (Claude AI) for analysis, Anthropic acts as a data processor — their API Terms of Service prohibit using API inputs for model training. Data is processed under your own API key, sent per-request, and is never combined with other users' data.
4. Google User Data (Google Ads & Google Workspace)
AgencyOSX offers two optional Google integrations: Google Ads (view your and your clients' advertising performance in a read-only reporting dashboard) and Google Workspace (let your AI assistants create and work with Google Sheets and Docs in your Google Drive). This section explains exactly what Google user data we access, why, and how it is handled. AgencyOSX's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
4.1 Google Ads — What We Access and Why
When you connect your Google Ads account, we request the following:
https://www.googleapis.com/auth/adwords: Used exclusively to read your Google Ads data via the Google Ads API. This includes: the list of ad accounts your Google login can access (account ID, name, currency, status), account- and campaign-level performance metrics (impressions, clicks, cost, conversions, conversion value), and ad group, ad, and keyword performance for campaign drill-down reports. We do not create, edit, pause, or delete campaigns, ads, budgets, or any other Google Ads resource, and we do not manage account access. This scope is used for read-only reporting purposes only.- Basic profile information (email address): The email address of the Google account you connect, displayed in Settings so you can see which Google login is linked.
4.2 How Google Ads Data Is Stored
- Your Google OAuth refresh token is encrypted with AES-256-GCM before storage, using the same encryption standard as API keys. It is decrypted only server-side when fetching your ad data.
- Basic account metadata (the connected Google account email and a list of your ad account IDs, names, currencies, and statuses) is stored in your profile to enable account selection.
- Aggregated daily performance statistics (spend, impressions, clicks, conversions, conversion value, and leads) at the account and campaign level are synced once per day and stored in our database. This is what powers your reporting dashboard without repeated API calls. These are aggregate campaign statistics only — they contain no personal data about the people who saw or clicked your ads.
- Ad group, ad, and keyword drill-down data is fetched from the Google Ads API in real time when you open a campaign report and is not permanently stored in our database.
4.3 How to Disconnect and Delete Google Ads Data
You can disconnect your Google Ads account at any time in AgencyOSX Settings. Disconnecting immediately revokes the OAuth token with Google and deletes the encrypted refresh token, connected Google account email, ad account list, and default account selection from our database. Stored daily performance statistics and client-to-account links are retained so that an accidental disconnect and reconnect does not destroy your reporting history; they are permanently deleted when you delete your AgencyOSX account, or sooner on request to support@agencyosx.ai.
4.4 Google Workspace (Drive, Sheets & Docs) — What We Access and Why
When you connect Google Workspace, we request some or all of the following, depending on the access level available to your account. The Google consent screen always shows you exactly which scopes are being requested before you approve them:
https://www.googleapis.com/auth/drive.file: Per-file Drive access limited to files your AI assistants create through AgencyOSX and files or folders you explicitly select via the Google Picker. Used to create Google Sheets and Docs on your instruction, save them into a folder you choose, and list, read, and update only those app-created or explicitly shared files. We cannot see the rest of your Drive with this scope.https://www.googleapis.com/auth/spreadsheets: Read and edit Google Sheets that you ask your AI assistant to work with in conversation — including spreadsheets that were created outside AgencyOSX and therefore are not visible under the per-file scope above. A sheet is only ever accessed in direct response to your instruction, and edits to existing sheets require your explicit in-chat confirmation before they run.https://www.googleapis.com/auth/documents: Read Google Docs that you ask your AI assistant to work with in conversation, including documents created outside AgencyOSX. As with spreadsheets, a document is only ever accessed in direct response to your instruction.- Basic profile information (email address and name): Displayed in Settings so you can see which Google login is linked.
4.5 How Google Workspace Data Is Stored
- Your Google OAuth token is encrypted with AES-256-GCM before storage, using the same encryption standard as API keys. It is decrypted only server-side when performing an action you requested.
- Connection metadata is stored in your profile: the connected Google account email and name, the list of scopes you granted, and your chosen default Drive folder (its ID and display name).
- The contents of your Sheets and Docs are fetched from Google on demand, at the moment your assistant performs the action you asked for, and are not stored as separate copies in our database. Content the assistant quotes back to you becomes part of that chat's history, like any other message.
4.6 How to Disconnect and Delete Google Workspace Data
You can disconnect Google Workspace at any time in AgencyOSX Settings. Disconnecting revokes the OAuth token with Google and deletes the encrypted token, connected account email and name, granted scope list, and default folder selection from our database. The files in your Google Drive belong to you and are never modified or deleted by disconnecting.
4.7 Data Sharing and Limited Use
Google user data — both Google Ads data and Google Workspace data — is used solely to provide you with the user-facing features described above inside AgencyOSX. Each user's Google data is maintained separately and is never combined with or accessible to other users.
We do not sell, rent, share, or transfer your Google user data to any third party, ad network, data broker, or monetisation service. We do not use Google user data for advertising targeting or creditworthiness purposes, and we do not use Google user data to develop, improve, or train generalised AI or machine-learning models.
5. Who Can Read Your Conversations
In short: only you. By default your conversations are private. No other AgencyOSX member can see them. Our staff do not browse member chats. We do not read your chats for marketing, curiosity, or to train AI models.
There are two narrow exceptions, both under your control:
- When you submit feedback: the feedback form in AgencyOSX lets you attach the chat you were in so we understand the context. If you attach a conversation, authorised members of our team can view the last 20 messages of that specific chat to respond to your issue. If you do not attach a conversation, no chat content is shared with us.
- When an automated quality signal is detected: the platform watches for patterns such as explicit frustration in your messages. If the pattern matches, the signal record stores the triggering message and is tied to your account. Authorised team members may review these signal records to improve the AI assistants. We do not browse outside of a flagged signal.
We do not train AI models on your conversations. Anthropic (our AI provider) also commits to not training on API data — see their privacy policy linked in Section 7.
Administrative access to any record (including signal and feedback-attached conversations) is logged in an internal audit trail with the admin's identity, the action, the target record, and a timestamp.
You can delete any individual chat, or your entire account, at any time in Settings. Deletion is permanent and propagates to our database, file storage, and all associated signal and feedback records.
6. How We Use Your Information
- To provide and operate the AgencyOSX platform and its AI assistants
- To proxy your messages to Anthropic's Claude API using your encrypted API key
- To analyse your Meta advertising data through our AI advertising specialist when you initiate a conversation about your ads
- To display your Google Ads account and campaign performance in read-only reporting dashboards when you connect your Google Ads account
- To export files you generate to your connected Notion workspace when you request it
- To generate ad images using Google Gemini when you request it (using your own Gemini API key)
- To maintain your conversation history across sessions
- To personalise AI assistant responses using your profile information and custom knowledgebase
- To send push notifications (only if you opt in) about platform updates and feedback responses
- To track usage for your personal cost dashboard
- To detect and surface conversation quality issues (for example, frustration patterns) so we can improve the AI assistants. Individual signal records are tied to your account and may be reviewed by our team; only aggregated insights are shared more broadly.
7. Third-Party Services
AgencyOSX integrates with the following third-party services. Each integration is optional or required for core functionality as noted:
- Anthropic (Claude API): Your messages are sent to Anthropic for AI processing using your own API key (or our platform key during the free trial). Anthropic does not use API data for model training. See Anthropic's Privacy Policy.
- Meta (Facebook): If you connect your Meta account, your ad performance data is accessed via Meta's Marketing API using your OAuth token. We only read data — we do not modify your ads or campaigns. See Meta's Privacy Policy.
- Google Ads: If you connect your Google Ads account, your ad performance data is accessed via the Google Ads API using your OAuth token. We only read data — we do not modify your ads or campaigns. See Google's Privacy Policy.
- Notion: If you connect your Notion account, files generated by AI assistants can be exported as formatted pages to your Notion workspace using your OAuth token. See Notion's Privacy Policy.
- Google (Gemini): If you provide a Gemini API key, it is used for AI image generation when requested. Images are generated on-demand and stored in our platform. See Google's Privacy Policy.
- Circle: We fetch two kinds of data from Circle (our community platform): upcoming community event schedules so AI assistants can reference them, and member lists so we can verify your active enrolment in the programme that grants AgencyOSX access. No user data is sent to Circle through this integration.
- Google Drive (coaching context, optional): For Elite and 7FAIS members whose coaches log call summaries in Google Drive, we read those summaries via a Google service account with read-only access to specific coach folders. See Section 8.
- Workflows (optional, user-configured): When you build a workflow in AgencyOSX, you can configure steps that push agent output to external services such as GoHighLevel, Zapier, or your own webhooks. Data only flows to services you explicitly wire up, and only when you run the workflow.
- Supabase: Our database and authentication provider. Data is stored securely with row-level security policies ensuring users can only access their own data. See Supabase's Privacy Policy.
- Vercel: Our hosting provider for the web application. See Vercel's Privacy Policy.
8. Coaching Context Sync (Elite and 7FAIS members only)
If your programme includes one-to-one coaching calls (currently Elite Agency and the 7 Figure AI Systems Accelerator), we operate an automated process so the AI assistants can stay aligned with what your human coach has told you. This section explains exactly what happens.
7.1 What We Read
Your dedicated success manager records and writes a short summary of each coaching call in their Google Drive. We use a Google service account with read-only access to specific coach folders (not your personal Drive, not your wider Google account) to pull new summary documents on a schedule. The service account email is agencyosx-coaching@gen-lang-client-0832031214.iam.gserviceaccount.com and the only Google permission it ever requests is read-access to the coach folders that have been explicitly shared with it.
7.2 How We Process It
Each new summary is parsed to extract member name, coach name, call date, and call number. We match the summary to your AgencyOSX account by name and email. The matched summary is then processed by Anthropic's Claude (the same AI provider used for the rest of the platform) to produce a rolling 500-800 word "coaching brief" that captures evolving advice and actions. This brief lives on your profile in our database and is updated each time a new summary arrives, so the brief stays short rather than accumulating indefinitely.
7.3 How It Is Used
Your coaching brief is injected into every AI assistant conversation as part of the system prompt — so when an agent gives you advice, it knows your coach has (for example) recommended a specific niche or pricing model, and avoids contradicting that direction.
7.4 Your Control
You can request deletion of your coaching brief at any time by emailing support@agencyosx.ai. Deleting your AgencyOSX account also deletes the brief and all stored summary records. The original summaries in your coach's Google Drive are owned and controlled by Aff Edtech Ltd independently of AgencyOSX.
9. Data Security
We take data security seriously and implement appropriate technical and organisational measures to protect your personal data:
- API keys and third-party access tokens (Claude, Gemini, Meta, Google Ads, Notion) are encrypted with AES-256-GCM before storage and decrypted only server-side when needed
- All data transmission uses HTTPS/TLS encryption
- Database access is protected by row-level security (RLS) policies ensuring users can only access their own data
- Passwords are securely hashed and never stored in plaintext
- Admin access is restricted to authorised personnel and all admin actions are logged in an audit trail
- Regular security reviews are conducted to identify and address vulnerabilities
10. Data Retention
We retain different categories of data for different periods:
- Account information: Retained for as long as your account is active. Deleted permanently when you delete your account.
- Chat history: Retained for as long as your account is active. You can delete individual chats at any time. All chats are deleted when you delete your account.
- Encrypted API keys and tokens: Retained while your account is active or until you remove them in Settings. Deleted permanently on account deletion.
- Meta advertising data: Access tokens retained while your Meta account is connected (maximum 60 days before re-authentication is required). Ad performance data is accessed in real-time and not permanently stored. All Meta data deleted on disconnect or account deletion.
- Google Ads data: Encrypted refresh token, connected account email, and ad account list retained while your Google Ads account is connected; deleted immediately on disconnect (the token is also revoked with Google). Aggregated daily performance statistics are retained while your account is active and deleted on account deletion, or sooner on request.
- Notion workspace data: Access token and workspace metadata retained while connected. Deleted on disconnect or account deletion.
- Usage logs: Retained for 12 months for billing and analytics purposes, then automatically purged.
- Push notification subscriptions: Retained until you unsubscribe or delete your account.
- Feedback submissions: Retained for platform improvement purposes. Anonymised after account deletion.
11. Cookies and Tracking Technologies
AgencyOSX itself sets only first-party cookies:
- Authentication cookies: Used to maintain your login session securely
- CSRF protection cookies: Short-lived tokens used during OAuth flows (Meta, Google Ads, Notion) to prevent cross-site request forgery attacks. These expire within 10 minutes.
- Referral attribution cookie: If you arrive through a partner referral link, we set a first-party cookie containing a random identifier for up to 90 days so we can credit the referring partner if you sign up. It contains no personal information and is not used for advertising or cross-site tracking; it is removed once attribution is recorded at signup. You can block or clear cookies for this site to prevent it without affecting your ability to use AgencyOSX.
When you use billing features, our payment processor, Stripe, sets its own cookies for secure payment processing and fraud prevention. Stripe's use of its cookies is governed by its own privacy policy.
We use Hotjar, a product analytics service, to understand how the AgencyOSX application is used and improve it. Hotjar sets its own cookies (prefixed _hj) on the application for this purpose.
We do not use advertising trackers or any third-party advertising technologies. We do not track you across other websites or services.
12. Automated Processing and AI
AgencyOSX is an AI-powered platform. When you send messages, they are processed by AI models (primarily Anthropic's Claude) to generate responses. This includes:
- Processing your messages and any provided context (profile information, custom knowledgebase, coaching notes) to generate personalised AI assistant responses
- Analysing your Meta advertising data (if connected) to provide campaign performance insights and recommendations
- Generating images based on your descriptions (if you provide a Gemini API key)
- Detecting conversation quality signals (for example, frustration indicators) to improve the platform. Individual signal records are tied to your account and may be reviewed by our team. Signal detection never affects your access to the service.
No automated decisions are made that produce legal effects or similarly significant effects on you. AI responses are informational and advisory — all business decisions remain yours.
13. Your Rights
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the following rights regarding your personal data:
- Right of access: You can request a copy of the personal data we hold about you.
- Right to rectification: You can request correction of inaccurate or incomplete personal data. You can update most information directly in AgencyOSX Settings.
- Right to erasure: You can request deletion of your personal data. You can delete your account and all associated data directly within AgencyOSX (see Section 18).
- Right to data portability: You can request your personal data in a structured, commonly used, machine-readable format.
- Right to restrict processing: You can request that we limit how we use your data in certain circumstances.
- Right to object: You can object to the processing of your personal data where we rely on legitimate interest as our legal basis.
- Right to withdraw consent: Where processing is based on your consent (e.g., push notifications, Meta connection, Google Ads connection, Notion connection), you can withdraw consent at any time by disabling the feature in Settings. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
- Right to lodge a complaint: You have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe your data protection rights have been violated.
To exercise any of these rights, contact us at support@agencyosx.ai. We will respond to your request within 30 days.
14. Legal Basis for Processing
We process your personal data on the following legal bases under UK GDPR:
- Contractual necessity (Article 6(1)(b)): Processing necessary to provide the AgencyOSX service you have signed up for — including account management, AI chat functionality, conversation storage, and usage tracking.
- Consent (Article 6(1)(a)): Processing based on your explicit opt-in — including push notifications, connecting your Meta account for ad analysis, connecting your Google Ads account for performance reporting, connecting your Notion account for file export, and providing a Gemini API key for image generation. You can withdraw consent at any time by disabling the relevant feature in Settings.
- Legitimate interest (Article 6(1)(f)): Processing necessary for our legitimate interests where these are not overridden by your rights — including conversation quality monitoring to improve the platform (with the disclosure rules in Section 5 above), security measures, and fraud prevention.
15. International Data Transfers

You can request further details about the specific safeguards applied by contacting us.
16. Children's Data
AgencyOSX is designed for business professionals and is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us at support@agencyosx.ai and we will promptly delete the information.
17. Push Notifications
Push notifications are entirely optional. You can enable or disable them at any time in the AgencyOSX settings. We use push notifications solely to inform you about platform updates, feedback responses, and relevant announcements. We do not send marketing notifications without your consent.
18. Account & Data Deletion
You can delete your account and all associated data at any time using the self-service deletion option in AgencyOSX Settings. Upon deletion, we will permanently remove:
- Your profile and account information
- All chat history and messages
- Encrypted API keys (Claude, Gemini)
